Job Purpose

The purpose of the AP/Accounting Specialist is to collaborate with various departments to gather, analyze, and process various accounting data while providing administrative support to organization. This position is expected to work 8:00 am to 4:30 pm- Seasonal overtime including some Saturdays may be required.

Duties & Responsibilities

  • Accounts Payable for separate entities and vendors.
  • Data entry into multiple business systems.
  • Identify and resolve discrepancies on invoices.
  • Prepare and process weekly vendor payments.
  • Enter financial data such as accruals, deferrals, reclassifications, and interdepartmental entries into the ledger as needed.
  • Prepare monthly reports as needed.
  • Prepare and process bank deposits and record customer payments.
  • Estimate weekly AP check runs for cash liquidity.
  • Record keeping and filing.
  • Prepare and review bi-weekly payroll information from timeclock for Manager.
  • Performs reconciliations as needed.
  • Maintain 1099 vendor files for accuracy and up to date W9’s for tax reporting.
  • Prepare and research 1099 information at year end for accounting firm.
  • Assist with answering phones.
  • Act as backup to other department positions.
  • Other duties and special projects as assigned.

Qualifications

  • Bachelor’s or Associate degree in accounting, or in a related specialization or minimum of 2+years accounting experience
  •  Proficient in accounting and knowledgeable with different software systems (Business Central, QuickBooks, DIS)
  • Exceptional attention to detail
  • PC literate with experience in Microsoft outlook, word, and excel
  • Superb time-management and organizational skills
  • Excellent communication, listening, and collaboration skills
  • Ability to multi-task
  • Ability to work independently as well as part of team

Working Conditions/Physical Requirements

This position requires frequent periods of sitting. May involve moving materials weighing up to 25 pounds.
